Efficiency Evaluation/Work Flow Analysis

Get ready for prospective pay with a full analysis of your internal office work flow. In your office we review and document the flow from patient admission through scheduling, billing, payroll, to include all elements of service delivery. If your visits ordered, visits scheduled, and visits logged, equate to visits billed, many of your compliance issues will be resolved. Missing or late orders will not be a problem issue. Coordination of care with all disciplines will be more efficiently managed.


HelpSource Work Flow Analysis will review each of these critical issues,
report the problems and recommend the solutions:

We'll use daily task lists to define what is to be done throughout the work day/work week to produce optimum efficiency.

Flow charts of your paperwork process will be done to discover duplication of handling. Reduction of paperwork most always is accomplished.

Flow charts of your internal system will be created and often reveal any over/under staffing. Too often a new staff member is added when better use of time, tools, and training may be the answer.

Your process for physician order tracking will be reviewed. Proper checks and balances can be initiated to ensure compliance with timely return.

Your system for scheduling of visits will be reviewed to verify that visits ordered are actually visits performed. This critical compliance issue can be managed well with the computer reports available in your software.

Supply process will be reviewed. Supplies billed to supplies ordered by the physician is often a poorly managed issue. This is a major source of lost revenue for many agencies. We'll help create a process so well defined that is compliance and cash flow issue will e greatly improved.

We'll analyze your current reports to make certain that checks and balances exist for billing. If not, we'll teach your staff how to produce the reports daily and weekly for you.

Staff size will be recommended based on your number of visits. Years of experience have shown us at what level of visits you may need to add scheduling, data entry, or clinical staff.


After this careful assessment and evaluation, we'll report to you our findings and recommendations.
